Google Drive and Google user data

Connecting Google Drive is optional and starts only when you choose to connect it. If you connect it, iApply asks Google for one permission, drive.file, which lets iApply access only the individual files you choose in Google’s file picker. iApply cannot browse, search or read the rest of your Drive, and it never creates, edits, shares or deletes anything in your Drive.

What we access and why.When you choose a file, iApply reads that file’s name, type, revision information and content (Google Docs, Sheets and Slides are exported to Word or PDF) solely to import it into the iApply feature you are using, such as the Shared Document Vault, your Evidence Library and your application workflows. We also read the email address of the Google account you connected so we can show you which account is linked.

What we store. iApply stores an imported snapshot of each file you choose (an exact copy of that version, the text extracted from it, and a record of where it came from) in its own storage. We also store, encrypted, the Google authorization token that lets iApply read the files you choose until you disconnect. Later edits to the file in Drive do not change the snapshot already imported.

Disconnecting and deletion.Disconnecting Google Drive in Tools and Automations removes the authorization token iApply holds, so iApply can no longer access your Drive. You can also remove iApply’s access at any time from your Google Account permissions. Disconnecting does not automatically delete snapshots you already imported: they remain in iApply, where you can archive them, until they are removed under iApply’s data controls. How we use and share it. We do not sell Google user data and do not use it for advertising. We use it only to provide the user-facing features you invoke. iApply’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. iApply does not use Google user data to develop, improve or train generalized AI or machine-learning models, and no person at iApply reads it except with your consent, for security or abuse investigation, to comply with law, or in aggregated and anonymized form for internal operations.

AI features. Content imported from Google Drive can be used as context for an AI-assisted feature. When you invoke such a feature, the content needed for it is sent to iApply’s managed AI provider (OpenAI) or, if you have configured your own AI provider (BYOAI), to the provider you selected. This happens only for the feature you asked for. We cannot speak for how a provider you choose handles data, so review the settings and terms of any BYOAI provider you use; our Terms of Service also prohibit using BYOAI through iApply to send Google-derived data for advertising, resale or data brokerage, or to train generalized AI or machine-learning models.
